Photo Security Settings

Overview

To access Photo Security Settings settings:

  1. Click the gear wheel icon in the upper-right to view Company Settings.
  2. Navigate to the Security tab.
  3. Click on the link to the Photo Security Settings.

Photo Timestamp is a paid addition to the standard Timesheets.com subscription. If you don’t see the Photo Security Settings on the Security tab, you will need to upgrade your account to use the feature.

The Photo Timestamp feature was designed to prevent employees from clocking in for each other (a.k.a. “buddy punching”). The feature uses a standard webcam to snap a photo of your employees when they clock in or out from a desktop or laptop computer. The photo is then stored along with the timestamp on their timesheet. In order to use Photo Timestamp, you’ll need a webcam (any USB-attached or built-in webcam will work) and a PC or Mac.

Note: Photo Timestamp does not currently work on mobile devices, tablets, or the mobile version of the website. Participating users must use the desktop version on a PC or Mac.

Setup

  1. Check the boxes next to the names of the users for whom you wish to enable this feature.
  2. Click the Save button.

Those users will now be required to take their photo along with their clock punches.

Browser Permissions

The first time a user attempts to clock in with Photo Timestamp, they will need to give their browser permission to access their webcam. Below are instructions for this process on all of the major browsers.

Apple Safari

  1. Log into your account at https://secure.timesheets.com.
  2. Click Safari in the upper-left corner to open the menu for this site.
  3. Click Settings for This Website.
  4. Click the drop-down menu next to Camera, and choose Allow.

Google Chrome

  1. Log into your account at https://secure.timesheets.com.
  2. Click the green Clock In button in the upper-left.
  3. A box will appear underneath the address bar at the top of the page prompting you to allow secure.timesheets.com to use your camera.
  4. Click Allow.

Microsoft Edge

  1. Log into your account at https://secure.timesheets.com.
  2. Click the green Clock In button in the upper-left.
  3. A box will appear at the bottom of the page prompting you to allow secure.timesheets.com to use your webcam.
  4. Click Yes.

Mozilla Firefox

  1. Log into your account at https://secure.timesheets.com.
  2. Click the green Clock In button in the upper-left.
  3. A box will appear underneath the address bar at the top of the page, prompting you to allow secure.timesheets.com to use your camera.
  4. Choose your camera in the drop-down menu (and it is recommended to check the box for Remember this decision so that you don’t have to repeat the process).
  5. Click Allow.

Helpful Tips

Photo Timestamp works best in well-lit areas. We suggest placing the webcam on a desk or mount, in a location where the lighting allows a user’s face to be clearly visible. This helps you to identify the user as well as the location of the photo (such as your front office or employee work station).

Viewing Photos

Photos may be viewed after the user has clocked out for their shift. To view photos:

  1. Navigate to a user’s timesheet.
  2. Click the plus sign (+) to the left of a given time entry record.
  3. Click the Show Photos link.
